Main Responsibilities

  • The (Senior) PMO Specialist role is in the Delivery Management Group (DMG); this group provides PMO, portfolio management and governance services for the Product Delivery Life cycle at the cliënt, including the governance and delivery of programs and projects.

  • The Delivery Management Group (DMG) is responsible for demand and delivery management across the full portfolio of product and technology initiatives:

  • To provide a consultancy service to programme and project managers, programme SteerCo, Project Boards across the organization or department and Portfolio Board.

  • To provide portfolio management services, with key responsibility the right analysis, prioritization and guidance to setup the best set of initiatives linked to a specific roadmap, business group or Country

  • To play a key role in the weekly reporting cycles within the programs, in supporting the quality assurance and alignment of the reports with both senior management and with the customer. 

  • To Support the DMG Program Directors and the cliënts management team, with a clear focus on project quality management, project scope management and benefits realization.

  • The role is to proactively promote programme and project management methods and standards, implementation of good programme and project management practice, and the monitoring of programme and portfolios.

  • Governance & Delivery Support

  • Implement and continuously improve the agreed governance. This includes product SteerCo, Portfolio Board, Gate Governance Forum and ad-hoc review meetings.

  • Work with the delivery organization project or program manager to define and implement the project/programme governance framework.

  • Chair or Facilitate governance and portfolio meetings, prepare decks, minutes and actions

  • Provide strategic overview of all programmes, projects and interdependencies, reporting anomalies, risks or areas of concern to project/program manager and senior management

  • Ensure the right level of transparency and effective decision making is in place at all times, and provide advice to senior management on required improvements

  • In conjunction with business owners and delivery organization, create strategies for the effective planning, monitoring and delivery of the roadmap

  • Identify dependencies at program, product level and country level between projects and program on the roadmap. Analyse alternatives and provide options to resolve contention and priority conflicts.

  • Provide an on-going health check, risk analysis and a recovery support function

  • Provide and facilitate lessons learned and post mortem analysis

  • Set up policies and procedures where required, avoiding unnecessary overhead and automating or simplifying activities whenever possible

  • In cooperation with the (senior) reporting specialists, develop and maintain management dashboards

  • Perform standard PMO services such as change requests, configuration management, release management, communication and so on

  • Gated delivery process

  • Ensure the agreed product delivery framework is followed and maintained with the least amount of overhead and highest efficiency

  • Provide support in all phases to all stakeholders to ensure the smooth and qualitative delivery of projects

  • Engage with the process stakeholders at all level to understand business needs and how they can be best supported, ensure the proper level of continuous improvement and process support is in place

  • Prepare QA and participate to the Gate Governance Forum

  • Portfolio management

  • Provide strategic overview of all programmes, projects and interdependencies, reporting anomalies or areas of concern to senior management

  • Build and analyse the portfolio of initiatives and make recommendations on the best mix to decision makers to balance/optimize the portfolio according to the availability of resources and budget and in line with business priorities

  • Engage with product stakeholders and country representatives to ensure alignment of business priorities and portfolio objectives

  • Facilitate and prepare governance / portfolio meetings, follow up on decisions, minutes and actions

  • Liaise closely with Finance, vertical controllers, project controllers and business owners to ensure the portfolio budget is properly validated

  • Ensure the PPM tool contents and views are properly maintained

Knowledge, Skills & Experience

Knowledge, Skills & Experience

  • Successful candidates for this role will have 10+ years of experience in PMO or delivery of technical products in several different industries and geographies

  • Business background and extensive experience in program management, portfolio office and project management methodologies and experience with implementation of PPM management systems

  • A deep understanding and first hand experience of traditional waterfall and agile project management methodologies used in the industry e.g. PRINCE2, PMI, Scrum

  • Effective written and verbal communication skills are needed, as well as experience in communicating, persuading, and influencing at senior stakeholder level

  • Self-motivated and proactive in the working environment

  • Demonstrates the gravitas and courage needed to build relationships and convey authority in order to resolve conflicts and maintain direction

  • Fluent English speaker, ideally with other European languages, at ease and effective in operating in an international working environment

  • Strong resource management, financial management, and budget management skills

  • Knowledge of and experience of governance processes in global multi-national companies

Previous consulting background and experience in Transformation initiatives is an asset
