Software License Management is performed within the License & Financial Management (L&FM) Team, as part of the IT Operations & Infrastructure department, by 2 Senior License Managers (SLM) and the L&FM Team Lead (Software License & O&I Financial Manager).
The two senior License Managers deal with multiple software vendors and internal IT and Business stakeholders, ensure a license-compliant environment worldwide, are involved in vendor (pre)audits, and are the main advisor/expert on available license constructions in the market and on contractual term/conditions and issues.
The Software License & O&I Financial Manager manages the License management process from end-to-end, is budget responsible for acquired IT Licenses and Maintenance support contracts, facilitates the IT O&I budget cycle process (RFF) and co-operates closely with Procurement/ Finance/ Sourcing Contract Management and other internal stakeholders to increase efficiency of operational IT cost, and effectiveness of investments.
Development of a Roadmap, capturing SAM improvement and License spend optimization initiatives
Further mature Software Asset Management is a focus area. An assessment is conducted for this purpose by Internal Audit. Findings, in combination with other observations, must be translated into an actionable improvement roadmap with a 2 years’ horizon. Initiatives (e.g. changes in operating model, role demarcation, usage monitoring by tooling, policies/procedures, …) will be prioritized based on financial and business benefits and should drive financial & operational excellence. The roadmap must be executed conform.
Work closely with the Software License & O&I Financial Manager and gather information from stakeholders (e.g. License & Delivery Managers), which results in
o An inventory of top 15-20 licenses (pareto-driven)
o Factsheet for each top 15-20 license, which primarily highlight opportunities for cost reduction
o Accurate reporting to internal stakeholders; financial baseline, forecast, cost drivers, allocation
o SAM Roadmap, including high level description of initiatives, associates investments and benefits
o Point of View SAM Operating Model, use of Internal/ External Service Providers, clarity regarding roles & responsibilities and preparation of tendering/ contractual documents
o Point of View Usage Monitoring and identification/implementation of required metrics and reports
o Architectural Point of View on tool choreography, interfaces and migration path
o Software Asset Management Policy and deployment of policies and procedures globally
Bachelor’ degree in Business Administration, Finance, Economics or equivalent work experience;
Affinity with financial and Software Asset Management Processes;
Conceptual knowledge of software licensing models, software market insight;
Ability to interpret and understand complex software licensing agreements
Understanding of the SAM services Market, and offerings of third –party service providers to support internal SAM capabilities;
Advanced knowledge of Excel and combine large data sets into actionable results;
3+ years’ experience with IT processes and tooling;
Familiarity with ITIL v3 Foundation and/or general knowledge of COBIT processes;
General knowledge of CMDB tooling (e.g. ServiceNow);
General knowledge of client, business and server software licenses;
Prior experience with identifying cost reduction initiatives, and keeping record of/and summarizing all received information is a plus;
Prior experience with Asset Management and Discovery Tools is a plus.
Regardless of personal expertise, access to in-depth expertise (backfill by organization) w.r.t. SAM processes, SAM services, licensing models, specific Software products (e.g. SAP, Microsoft, Oracle, VMware and Engineering product like Siemens, Matlab, …) is a plus.
