The HR Operations Specialist EMEA provides key HR support in the areas of Human Resources Information System (HRIS) maintenance & reporting, compensation, benefits, overall HR compliance and People Development.
In addition you provide general support for our employees that are part of our local business teams (with focus on UK, Italy, France, Ireland and Spain) and for our employees at EMEA HQ in the Netherlands.
Recordkeeping & Reporting
Process all new hire paperwork and set up employee records to include personnel filing system and new HIRS that will be implemented in 2015/2016 (ADP Streamline and Workday).
Enter all personnel changes and updates in files and new HRIS on a monthly basis at the end of each payroll period in order to maintain (electronic) employee personnel files.
Compile, prepare and maintain all annual salary surveys and quarterly payroll reports.
Responsible for EMEA data protection compliance.
Manage all new hires, transfers, promotions & terminations from a data perspective including sending notifications.
Benefits & Payroll Administration
Assist with the benefits enrollment and ongoing change process by scheduling informational meetings, answering employee questions, uploading all elections to new HRIS and assisting with company education seesions, communications and reminders. Assure the precise and timely processing of new hires, terminations and benefit changes.
Prepare and maintain employee benefits files in new HRIS, assuring accuracy, compliance and confidentiality.
Communicate regularly with benefit carriers and broker to reprocess errors, ensure accurate data transfer and confirm information.
Act as an employee advocate for company's benefit programs providing both support & education.
Administer Leave of Absense program to include communication with employees, processing of all paperwork, and maintenance of all policies and procedures relating to LOA.
Supervise the payroll processes across the region and follow up on all payroll related matters, working closely together with the finance team.
Facilitate the yearly merit increase and bonus review processes for the region.
Secondary backup for the front desk breaks.
Participate as the HR Representative in appropriate committees.
Maintain the EMEA HR Team Budget including tracking and coding invoices for both HR and facilities.
Assist with other EMEA HR projects as assigned (development of EMEA compensation & benefits structure, employment contract management, etc.).
Own the filing of employee personnel documents.
Participate in the process to ensure a happy landing for company's immigrant employees and expatriates, including communication with employees and external services providers.
Bachelor’s degree in Human Resources Management is a minimum requirement.
3-5 years working experience in international compensation & benefits.
Experienced user of ADP Streamline.
Strong interpersonal and communication skills with the capability to build trust and respect within the organization.
Must be extremely detail-oriented and able to meet daily, weekly and monthly deadlines.
Must possess the ability to execute a wide variety of tasks and work in a fast-paced, team environment.
Strong self-starter – ability to take on and complete projects with minimal direction.
Advanced level skills in PowerPoint, Word, Excel and Outlook.
Proven ability to handle confidential information professionally and discreetly.
Flexibility to handle unexpected projects and a demonstrated willingness to help others.
General knowledge of European employment laws is a big plus.
Problem solving mindset combined with a proactive attitude.
Ability to interact positively and effectively with all team members and management across the region.
Analytical and reporting skills strongly desired.
Strong commitment to service excellence.
Excellent verbal and written communication skills in business Dutch and English; proficiency in more EU languages is a big plus (French, Italian and/or Spanish).
